Case Study: EPE, Inc.

Editorial Projects in Education, Inc. (EPE) turned to Success Roads to find a technology solution that fit its specific organizational needs. Success Roads led a cross-department team for this educational media nonprofit in the development and implementation of new webinar software.

Challenge:  EPE was unhappy with the services of a longtime technology vendor. The organization wanted improved service and functionality for its webinars – which were integral to its digital business model – but did not have the internal resources to address the problem.

Solution:  EPE contracted Success Roads to determine whether the existing software could be improved or if a new software solution should be implemented. Here’s how we made it happen:

  • Assessed current and near-term needs and developed a requirements document

  • Recommended moving forward with an RFP process, and researched vendors

  • Defined the business and technical requirements to discover what technical features were required

  • Served as project leader on EPE’s cross-departmental team to select new vendor

  • Developed and managed the RFP process

  • Analyzed proposals and created spreadsheets to review with team comparing pricing, service provided, implementation times and experience of companies

  • Guided team through proposal reviews, pitches and follow up questions

  • Facilitated team to selection of final vendor

  • Negotiated the contract with the chosen technology vendor

  • Led cross-department team in the implementation of the new software and managed the project through completion; created and managed transition plan and ensured staff were trained in new system

Outcome:  EPE was very happy with its vendor choice and is taking advantage of new functionality and improved customer service. The organization also met its goal of conducting a virtual career fair with this vendor.

“Our decision to move to another technology [has been] an excellent choice for the organization and it has been well-received by all internal constituents, in part because of the collaborative approach that Duane remained committed to throughout the process.  Big picture, we are gaining better technology and functionality, improved customer service and improved pricing.”
